Job Purpose :
The F&B Reservation Agent is responsible for managing all restaurant reservations and guest inquiries in a courteous, efficient, and professional manner. This role plays a key part in maximizing table occupancy, optimizing guest flow, and ensuring a smooth pre-arrival experience for guests.
Key Responsibilities :
- Reservation Handling :
- Answer phone calls, emails, and messages related to dining reservations.
- Record, confirm, modify, and cancel bookings accurately in the reservation system.
- Ensure correct guest information is entered (name, contact, preferences, special requests).
- Guest Communication & Service :
- Provide clear information on restaurant hours, menus, dress codes, and promotions.
- Respond to guest inquiries with professionalism and efficiency.
- Follow up on special requests (e.g., birthdays, dietary needs, VIPs) and coordinate with service teams.
- Table Management :
- Maintain an updated floor plan and table allocation chart.
- Coordinate with the hostess and restaurant team to optimize seating and guest flow.
- Monitor no-shows and waitlists; adjust seating plans accordingly.
- Reporting & Coordination :
- Prepare daily reservation reports and communicate key guest details to service teams.
- Assist in generating booking statistics and forecasting peak periods.
- Communicate with front desk, concierge, and sales for internal guest arrangements and group bookings.
- System & Standards :
- Maintain up-to-date knowledge of all F&B outlets, menus, and promotions.
- Operate reservation platforms (e.g., OpenTable, or other POS tools).
- Follow company grooming and communication standards.
