We are looking for a Project Assistant for one of our clients with the following details :
Location : Muscat, Oman
Service Status : Resident (5 days per week)
Start Date : ASAP
Estimated Service Duration : 12 months (renewable)
Qualification and Experience Required :
- Language : English AND Arabic (mandatory)
- Professional Experience : +5 years in similar Assistant positions.
- Education Level / Diploma : Bachelor Degree
- Fluent in English (written and spoken).
- Very good command of MS Office Package (Word, Excel, Power Point) and the ability to work with numbers (spreadsheets calculation of percentage, tracking amounts, …).

The service holder will be responsible for the day-to-day activities supporting the project Teams, coordinating with our different sites in France and Oman.Organisation / Admin
Ensuring the flow of information.Preparing, and editing notes, Minutes of Meeting, letters and documents.Collecting and formatting dashboards, graphs, statistics, writing notes and / or correspondence from oral or handwritten instructions, and presentations.Managing diaries, arranging appointments and meetings.Participating in travels for the team members (mission orders, visa requests and expense claims, booking hotels, transport, restaurants, meeting rooms …).Participating in the arrival / departure of employees, trainees, apprentices, service providers (office, removals, authorisations, etc...)Back up for purchase requests in the SAP system (training will be provided on SAP)Participating on the general services for the offices in Muscat.Preparation and follow up of admin documents.Support the HR Lead on the Technical Assistance Services process and documentation (Calls for tender, Teams invitations, PO, orders, invoices …), if needed.Follow up the mandatory trainings, for HSE and Compliance, if needed. (Medic no as it is mandatory information)Support on onboarding new comers with the provision of IT equipment, access card, badge, etc.Mail management :
Receiving, sorting, and distributing mail, processing emails, if necessary, electronic, and physical filing plan,Editing documents, link with the reprography and distribution department (headquarters, subsidiaries …).Communication :
Receiving, screening, and transmitting telephone callsRegistration for training courses, conferences, and seminars.Circulation of internal documents (legal documentation, etc.)Welcoming visitors and new arrivals.Updating the Directorate's communication media : intranet site, organisation charts, presentations ...Coordinating with the different sites on logistics, HR and project assistance topics (France and Oman)If Interested Kindly apply.
