Job Purpose
The Personal Assistant (PA) to the CEO will be responsible for providing high-level administrative, organizational, and strategic support to the Chief Executive Officer of a leading insurance company in Oman. The role will ensure the efficient management of the CEO’s office, including scheduling, correspondence, stakeholder engagement, and coordination of key initiatives. The PA will act as a trusted partner, maintaining confidentiality and professionalism while enabling the CEO to focus on strategic priorities.
Key Responsibilities
- Manage the CEO’s calendar, schedule meetings, coordinate travel and logistics, and accompany the CEO on business trips or external engagements when required to provide on-ground support.
- Handle all incoming and outgoing correspondence (emails, letters, reports, presentations), drafting and reviewing documents as required.
- Act as the first point of contact between the CEO and internal / external stakeholders, including regulators, board members, industry leaders, and business partners.
- Prepare meeting agendas, take minutes, and follow up on action items to ensure timely execution.
- Coordinate and support the preparation of reports, presentations, and strategic documents for board meetings, regulators, and external stakeholders.
- Ensure proper documentation and filing of confidential records, contracts, and agreements.
- Liaise with senior executives and department heads to ensure alignment and timely delivery of business priorities.
- Monitor deadlines, commitments, and deliverables to ensure the CEO is well-prepared for all engagements.
- Support in corporate governance activities including compliance with legal and regulatory requirements (especially within the insurance sector).
- Manage office operations related to the CEO’s office, including budgets, procurement requests, and vendor interactions as needed.
- Represent the CEO’s office in a professional manner, maintaining discretion, confidentiality, and integrity at all times.
Educational Qualifications
Bachelor’s or Master’s degree in Business Administration, Legal Studies, or related field (BSc or MSc).Professional certifications (e.g., Executive Assistant, Office Management, Corporate Governance) would be an added advantage.Experience
Minimum of 5 years’ proven experience as an Executive Assistant, Personal Assistant, or Office Manager, preferably within an insurance, reinsurance company or financial services sector.Experience working closely with C-suite executives, boards, and regulatory authorities.Proven track record of managing complex schedules, correspondence, and high-level meetings.Skills
